01 — The problem

Every portfolio older than one board has conflicts hiding in it.

A 2002 declaration sets one late fee. A 2023 resolution sets another. An architectural guideline approves door colors the covenants ban. Minutes cite a rental cap that doesn't match the recorded amendment. It isn't negligence. It's what happens when more than one board governs over time.

Your management platform's AI can't catch this. It only knows what lives inside your platform. Your declarations, amendments, ARC guidelines, and thirty years of minutes don't live there. They live in file servers, shared drives, and the Register of Deeds.

And it costs you twice. Time: managers lose hours a week digging through PDFs for answers. Exposure: every violation letter or permit that cites the wrong document becomes a written record a homeowner's attorney can find later. The audit maps those conflicts before someone else does.

From a demo portfolio
The recorded rental cap was 20%: thirty-six units. The board had been issuing permits against 25%. Every permit above thirty-six was above the legal cap.
The system caught it in seconds, with both documents cited. That's what a finding looks like.
02 — What you get

Four deliverables. Ten business days.

  1. 01Private ingestionYour declarations, amendments, ARC guidelines, policies, and minutes loaded into a private sandbox on our own infrastructure. Never a public AI tool. Never used for training.
  2. 02A live working sessionSixty minutes where your team queries your own documents in plain language and sees exactly what a full deployment feels like. Bring your hardest questions.
  3. 03The Findings ReportA written conflicts map: contradictions, compliance gaps, and provisions flagged for counsel review, each verified by hand against the source. Yours to hand to counsel and your boards. The report identifies documentary conflicts; it is not legal advice.
  4. 04A deployment roadmapFixed pricing and a defined path to a full Deepvine deployment inside your own environment, so a yes later has no surprises in it.
Sample Findings Report: a conflicts map showing four document conflicts across a demo portfolio of five associations, including a late fee conflict, a window maintenance responsibility conflict, a rental cap discrepancy, and a satellite dish provision flagged for attorney review.
A page from the Findings Report, built from our fictional demo portfolio. Yours is built from your associations' actual recorded documents.
03 — Your data

Documents only. In writing. Deleted after.

The audit runs under a signed data handling agreement before a single file moves. We never touch your management platform, accounting, banking, or email. Owner ledgers, delinquency records, and payment info are excluded from scope, and most of what we audit is already public record at the Register of Deeds.

Processing happens on Deepvine's own private stack in the U.S., never a shared cloud model. When your report ships, we permanently delete your documents and issue a written certificate of deletion. Prefer the data never leaves your building? We'll process on-site. More on our security overview.

04 — The process

Four steps. You do one of them.

  1. 1Sign & sendAgreement signed, you export your document folders. That's your entire job, and it happens on day one.
  2. 2Ingest & analyzeWe load everything and verify every finding against the source text by hand.
  3. 3Working sessionSixty minutes, live. You query your own portfolio and watch it answer with citations.
  4. 4Report deliveredFindings Report and deployment roadmap, within ten business days of receiving your documents.

FAQ

Questions, answered.

Does the audit require access to our management software?
No. It's documents-only. You export folders; we never request credentials to your management platform, accounting, banking, or email. System connections happen only in a full deployment, inside your own environment.
Where are our documents processed?
On Deepvine's own private stack in the U.S., under a signed data handling agreement. Your documents never touch a public AI tool or shared cloud model, are never used for training, and are deleted with a written certificate within ten business days. On-site processing is available on request.
Is homeowner personal information involved?
No. Owner ledgers, delinquency records, contact lists, and payment information are expressly excluded from scope. Most audit documents are recorded instruments that are already public record.
What if you don't find anything?
Then it's free. Fewer than five documented findings and we refund the fee in full.
How long does the audit take?
Ten business days from documents received to report delivered, including your live working session.
Does the fee count toward a full deployment?
Yes, all of it. 100% of the audit fee is credited against a deployment signed within 90 days of your Findings Report.

Mitch came to AI as an operator, not a technologist. A decade leading one of North Carolina's top luxury real estate practices (top 1.5% of eXp Realty's 90,000+ agents worldwide) put him on the other side of hundreds of HOA transactions: governing document reviews, board disputes, ARC battles, and the gaps between what's recorded and what's enforced. He built Deepvine to implement AI the way an owner evaluates it: ROI, risk, and enterprise value, not subscription features. His thesis: rented AI is an expense that disappears. Owned AI is an asset that appreciates.
